How it works

The Storage Tracking feature provides comprehensive monitoring and management of file storage usage in your workspace. Here's how it works:

  1. Storage Overview:

    • View total storage used
    • See storage quota/limit
    • Monitor storage percentage used
    • View storage breakdown by category
    • Visual quota chart showing usage
  2. Storage Categories:

    • Sessions: Files attached to sessions
    • Storefront: Product images, videos, store assets
    • VCard: Digital business card assets
    • Financial: Invoice attachments, payment receipts
    • SMS: SMS-related files
    • AI Tools: AI-generated files
    • Other: Miscellaneous files
  3. File Management:

    • View all stored files
    • See file details: name, size, category, date
    • Filter files by category
    • Sort files by size, name, or date
    • Delete individual files
    • Bulk delete multiple files
  4. Category Statistics:

    • View storage usage per category
    • See file count per category
    • Identify largest storage consumers
    • Monitor category growth
  5. File Details:

    • View file path
    • See file size (KB, MB, or GB)
    • View file category
    • See upload date
    • Preview file (if supported)
  6. Quota Management:

    • Monitor quota usage
    • Receive warnings when approaching limit
    • Identify files to delete to free space
    • Plan storage needs

Settings

The Storage Tracking feature includes the following configuration options:

  1. Display Settings:

    • Overview tab with summary and chart
    • Files tab with file list
    • Categories tab with category breakdown
  2. File Filtering:

    • Filter by category (sessions, storefront, vcard, financial, sms, ai-tools, other)
    • Filter shows only files in selected category
  3. File Sorting:

    • Sort by size (ascending/descending)
    • Sort by name (ascending/descending)
    • Sort by date (ascending/descending)
  4. Pagination:

    • 20 files per page (default)
    • Navigate through pages
    • View total file count
  5. File Selection:

    • Select individual files
    • Select all files on current page
    • Bulk operations on selected files

Permissions

Access to Storage Tracking requires:

  • Workspace Owner: Has full access to view storage tracking and delete files
  • Staff: Access may be restricted. Typically, only workspace owners can manage storage.

Note: Storage management involves deleting files which can affect workspace functionality. Access is typically restricted to workspace owners.

Notes / Limits

  1. Storage Quota:

    • Workspace has a storage quota/limit
    • Quota is displayed in overview
    • Approaching quota triggers warnings
  2. File Deletion:

    • Deleting files is permanent
    • Deleted files cannot be recovered
    • Deletion frees up storage space immediately
  3. Bulk Deletion:

    • Multiple files can be deleted at once
    • Bulk deletion shows success/failure count
    • Some files may fail to delete (e.g., in use)
  4. File Categories:

    • Files are automatically categorized
    • Category cannot be manually changed
    • Categories help organize storage
  5. File Sizes:

    • Displayed in KB, MB, or GB as appropriate
    • Sizes are calculated accurately
    • Total size includes all files
  6. Storage Calculation:

    • Storage includes all uploaded files
    • Files from all features are counted
    • Deleted files free up space immediately
  7. Performance:

    • Large numbers of files may load slowly
    • Pagination helps manage performance
    • Filters reduce displayed files
  8. File Preview: Some file types can be previewed. Preview availability depends on file type and browser support.

  9. Quota Warnings: System warns when approaching storage quota. Plan for quota increases or file cleanup.
